Privacy policy
This policy explains what personal data the Option Trident website collects, why we collect it, how long we keep it and what rights you have. It covers this marketing website at optiontrident.com. It does not cover the Trident app at app.optiontrident.com, which is governed by your subscription agreement and its own privacy terms.
Who we are
The website is run by Aurion Labs Ltd, a company registered in England and Wales with company number 13436046. Our registered office is 30 Tickford Street, Milton Keynes, MK16 9EY, England.
Aurion Labs Ltd is the controller of the personal data described in this policy. That means we decide why and how it is used.
We have not appointed a data protection officer, because the law does not require one for a business of our size and type. You can reach us about anything in this policy at hello@aurionlabs.io.
What we collect
We only collect personal data in two ways: when you fill in one of our forms, and through the basic access logs that every web server keeps.
| Source | Data |
|---|---|
| Demo and contact form | Your name, email address, company, role, the plan you are interested in, your message, and whether you ticked the newsletter box. |
| Newsletter form | Your email address. |
| Spam protection on both forms | A one-way hash of your IP address, and a hidden field that people do not see and that only automated spam tools tend to fill in. |
| Server access logs kept by our host | Your IP address, browser and device details (the user agent), the page address you asked for, and the date and time. |
We do not ask for payment details, identity documents or trading account details on this website.
Why we use it and our legal basis
UK data protection law requires us to have a legal basis for each use of your data. These are ours:
- Replying to a demo or contact request. We use your details to answer you, arrange a demo or trial, and discuss a subscription. The legal basis is taking steps at your request before entering a contract, and our legitimate interest in answering business enquiries.
- Sending the newsletter. We only send it if you sign up with the newsletter form or tick the box on the contact form. The box is unticked by default. The legal basis is your consent. You can withdraw it at any time by using the unsubscribe link in any email or by writing to us.
- Stopping spam and keeping the site secure. We use the hashed IP address, the hidden field and the server logs for this. The legal basis is our legitimate interest in protecting the website and our inbox.
- Meeting legal duties. We may keep or share data where the law requires it.
We do not use your data for automated decisions that have legal or similar effects on you, and we do not build profiles of visitors.
How our forms work
When you send a form, it goes to a small script on our web server. That script does two things:
- it saves your submission in a file on the server, in a folder that is not reachable from the public website;
- it emails a copy of your submission to hello@aurionlabs.io so we can reply.
Before saving, the script turns your IP address into a one-way hash. A hash is a scrambled code that cannot be turned back into the original address. We use it to spot repeated spam from the same source.
International transfers
Our web host, DreamHost, LLC, is based in the United States. This means your form submissions and the server logs are stored and processed outside the UK.
Where UK law requires it, we rely on our host's contractual terms, including standard data protection clauses approved for UK transfers, to protect your data when it leaves the UK. You can ask us for more detail about these safeguards at hello@aurionlabs.io.
How long we keep it
| Data | How long |
|---|---|
| Demo and contact enquiries | Up to 24 months after our last contact with you. If you become a customer, we keep what we need under the terms of your subscription agreement. |
| Newsletter sign-ups | Until you unsubscribe. |
| Server access logs | For a short period set by our host, after which they are deleted. |
Security
Form submissions are stored outside the public web folder, and access to the server and our mailbox is limited to the people at Aurion Labs who need it.
No system is perfectly secure. If we become aware of a breach that puts your rights at risk, we will tell you and the Information Commissioner's Office where the law requires it.
Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data;
- ask us to limit how we use your data;
- object to us using your data on the basis of our legitimate interests;
- ask us to send your data to you or another organisation in a common format, where the law allows;
- withdraw your consent at any time, for example to the newsletter. This does not affect anything we did before you withdrew it.
To use any of these rights, email hello@aurionlabs.io. We may need to confirm your identity first. We will reply within one month, or tell you within that month if we need longer because the request is complex. There is normally no fee.
Children
This website and Trident are for adults. They are not directed at anyone under 18, and we do not knowingly collect data from children. If you think a child has sent us their details, contact us and we will delete them.
Changes to this policy
We will update this policy if the way we handle data changes, for example if we add analytics. The date at the top shows when it was last updated. If a change is significant, we will make it clear on the website.
Contact and complaints
For any question or request about your data, email hello@aurionlabs.io or write to Aurion Labs Ltd, 30 Tickford Street, Milton Keynes, MK16 9EY, England.
If you are unhappy with how we have handled your data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK data protection regulator, at ico.org.uk.
